- ☐ Work only the primary outcome task
- ☐ If stuck > 20 minutes: write the blocker in one sentence and ping the right person once with a clear ask
- ☐ End block with a one-line progress note (for your team log or future you)
Coordination window (30–45 minutes)
- ☐ Reply to outstanding reviews / approvals
- ☐ Update task statuses for anything that changed since morning
- ☐ Handoffs: if you finished something, tag the next owner with date + definition of done
- ☐ Quick prep for tomorrow’s first meeting (if any): bullet agenda
Second deep block (optional, 45–90 minutes)
Use for supporting tasks—or recovery if the morning block was interrupted.

- Scan your team’s overdue and blocked tasks—respond only where a decision is waiting on you.
- Remove one piece of process friction you noticed today (a redundant field, a redundant meeting, a duplicate board).
