Daily task checklist template

A focused day plan for individual contributors and leads: protect deep work, clear inbound chaos, and close the loop before you log off. Adjust time boxes to your schedule; keep the sequence.

For a team-wide view of the same work, use TeamTasks so priorities and handoffs stay visible beyond your personal checklist.

Start of day (10 minutes)

  • Date: __________   Energy note: low / medium / high
  • ☐ Pick 1 primary outcome for today (one sentence): _________________________________
  • ☐ Pick 2 supporting tasks max (names only): __________   __________
  • ☐ Scan inbox / chat 5 minutes max—convert anything real into a task with owner; otherwise archive/snooze
  • ☐ Flag one blocker risk to surface early: _________________________________

Deep work block (60–120 minutes)

Protect this block like a meeting with your future self.

  • ☐ Close unrelated tabs; phone on focus mode
  • ☐ Work only the primary outcome task
  • ☐ If stuck > 20 minutes: write the blocker in one sentence and ping the right person once with a clear ask
  • ☐ End block with a one-line progress note (for your team log or future you)

Coordination window (30–45 minutes)

  • ☐ Reply to outstanding reviews / approvals
  • ☐ Update task statuses for anything that changed since morning
  • ☐ Handoffs: if you finished something, tag the next owner with date + definition of done
  • ☐ Quick prep for tomorrow’s first meeting (if any): bullet agenda

Second deep block (optional, 45–90 minutes)

Use for supporting tasks—or recovery if the morning block was interrupted.

  • ☐ Task A: ________________________________
  • ☐ Task B: ________________________________
  • ☐ If time remains: small “debt” tasks (docs, tests, cleanup) ≤ 25 minutes each

End of day (10 minutes)

  • ☐ Mark completed tasks done (avoid “almost done” as a permanent state)
  • ☐ Reschedule only what must move—carry forward ≤ 3 items intentionally
  • ☐ Write tomorrow’s first task (starts the day with zero decision friction)
  • ☐ One-line team update if your team expects it: shipped / blocked / tomorrow

Lead add-on (5 minutes)

If you manage people, add this pass after your personal checklist.

  • Scan your team’s overdue and blocked tasks—respond only where a decision is waiting on you.
  • Remove one piece of process friction you noticed today (a redundant field, a redundant meeting, a duplicate board).

Make the checklist team-visible

Personal discipline plus shared visibility is how teams stop duplicating work and missing handoffs.
